Microsoft Copilot has been one of the most talked about business technology releases in years. It is also one of the most misunderstood. The marketing promises AI woven into everything and drafting emails, summarising meetings, generating reports. The reality for most small businesses is more nuanced, and the question of whether to invest now or wait is a genuinely important one.
What Copilot actually is
Microsoft 365 Copilot is an AI assistant built into the Office applications you already use and Word, Outlook, Teams, Excel, PowerPoint. It uses large language model technology to help you draft content, summarise information, analyse data, and automate repetitive tasks and all from within the applications your team already works in every day.
What it actually costs
Copilot for Microsoft 365 is priced at £25.90 per user per month on top of your existing M365 licence. For a team of 20 people, that is approximately £6,200 per year. That is a meaningful investment, and it only makes sense if your team will genuinely use it and which brings us to the readiness question.
Copilot works best when your Microsoft 365 environment is well configured and clean data, organised SharePoint, sensible permissions. If your SharePoint is a mess of unsorted documents and your Teams has channels nobody uses, Copilot will surface that mess back at you. The AI is only as good as the information it has access to.
Signs your organisation is Copilot ready
- Your Microsoft 365 tenant is actively used and reasonably well organised
- You have SharePoint or OneDrive in use for document storage
- Your team already uses Teams for communication rather than email chains
- You have a Microsoft 365 Business Standard or Premium licence
- You have considered data governance and what Copilot can and cannot access
Our honest recommendation for SMEs
If your M365 environment is well set up and your team is genuinely bought in to using AI tools, Copilot can deliver real productivity gains and particularly around meeting summaries and document drafting. If your environment is not yet clean, invest in getting that right first. Switching on Copilot before your data is organised is like hiring a new employee and giving them no training and no filing system. The potential is there, but you will not see it.
We offer a free Copilot readiness assessment and we review your M365 environment and tell you honestly whether you are in a position to benefit from Copilot today, and if not, what needs to change first.
