The HR software market has never been bigger, or more confusing. There are hundreds of platforms claiming to be the right solution for small businesses. Most of them are enterprise systems that have been scaled down and repriced, not genuinely built for organisations under 100 people. The result is software that is either overwhelming, expensive, or both and and often sits unused within six months of implementation.
The five things that actually matter in an HR system for smaller businesses
- Ease of use for non HR professionals. In most businesses under 100 people, HR administration is handled by a manager, a PA, or a business owner and not a dedicated HR team. The system needs to be intuitive enough that someone who is not an HR specialist can use it confidently on day one.
- Employee self service. Staff should be able to submit leave requests, view their payslips, update their details, and access documents without having to email anyone. This alone saves hours every week at the admin level.
- Fit with your existing technology. If your team lives in Microsoft 365, an HR system that sits inside your existing Teams and SharePoint environment will get adopted. One that requires a separate login and a separate app often will not.
- Data security and GDPR compliance. HR data is some of the most sensitive information your organisation holds. Your system needs clear data residency, access controls, and an audit trail. This is non negotiable.
- Genuine support when things go wrong. Small businesses do not have IT departments. When something breaks or a user does not know how to do something, you need a real person who can help quickly and not a ticket queue and a six hour response SLA.
Who will actually administer this system day to day, and is the system realistic for them? The best HR platform for your business is the one your administrator will actually use and not the one with the most features.
Map your actual pain points
List the three or four HR administration tasks that currently take the most time or cause the most errors. Buy to solve those problems first, not to tick every box on a features list.
Involve the people who will use it
Get the person who will administer the system and a sample of end users to try any shortlisted platform before you buy. Their feedback matters more than any review site.
Check the data question thoroughly
Where is your data stored? Who has access to it? What happens to it if you cancel? These questions should be answered in writing before you sign anything.
Start small and expand
You do not need to configure every module on day one. Start with the core use cases, get adoption, then add functionality once your team is comfortable.
Why we built SolvvSpace HR inside Microsoft 365
The most common reason HR systems fail in small businesses is adoption. Staff do not want another application to log into. Managers do not want to switch context between their email, their meetings, and a separate HR portal. We built SolvvSpace HR to live inside the Microsoft 365 environment your team already uses every day and accessible from Teams, linked to SharePoint, connected to Outlook. No separate login. No data leaving your Microsoft tenant. No training overhead beyond what your team already knows.
